Brand voice for small online stores: a one-page guide you'll actually use
· 2 min read · MAALI team
Your brand voice is how your store sounds: the words you choose, how formal you are, what you joke about and what you never say. Big brands have long style guides. A small store needs one page, written down, so everything you publish (or hand to a freelancer or an AI tool) sounds like you.
Why bother writing it down?
Without a written voice, every product description, email and post sounds slightly different, depending on who wrote it and when. Shoppers notice, even if they can't say why. A consistent voice makes a small store feel more established and more trustworthy.
It also saves time. When you know how you sound, writing gets faster.
Your one-page brand voice
1. Who you're talking to
One or two sentences about your customer, in plain words:
Women in their 30s and 40s who want comfortable, natural clothes they can wear all summer. They care about how things are made, and they don't want to look like they're trying too hard.
2. Three words that describe your voice
Pick three, and say what each one means for you, because "friendly" means different things to different people.
Warm: we write like a friend who knows linen well, not like a catalogue. Calm: no hype, no countdown timers, no shouting in capitals. Practical: we always say how it fits, how to wash it, and how long it lasts.
3. Words you use, and words you don't
We say: relaxed fit, pre-washed, made in small batches, easy to layer We don't say: luxurious, must-have, elevate, game-changer, "slay"
4. A before-and-after example
Rewriting one real sentence shows the voice better than any description:
Before: Elevate your summer wardrobe with this luxurious must-have linen dress! After: A relaxed linen dress for hot days. It's pre-washed, so it's soft from the first wear and won't shrink.
5. Rules for tricky moments
How you handle delays, mistakes, out-of-stock items and complaints says a lot about your brand:
When something goes wrong, we say so plainly, apologise once, and say what we'll do about it.
Use it everywhere
Keep the page somewhere you'll see it, and use it for:
- product descriptions,
- emails and automated messages,
- blog articles,
- social posts and captions,
- briefs for freelancers and AI tools.
Review it once or twice a year. Voices evolve as stores grow.
