Connecting your mailbox
· 2 min read
MAALI sends from your own mailbox, so replies land in your inbox and your emails look like normal one-to-one messages. You connect it once under Mailboxes: type the address and MAALI detects your provider and fills in the server settings.
Most providers require an app password rather than your normal password. It's a separate password that only works for mail apps, and you can revoke it anytime without changing your main password.
Google Workspace and Gmail
- Turn on 2-Step Verification for the account.
- Open App passwords, name it "MAALI" and click Create.
- Paste the 16-letter password into MAALI.
If App passwords isn't available, your Workspace admin may have disabled it, or the account uses a security key only.
Microsoft 365 and Outlook
- Your admin must allow Authenticated SMTP for the mailbox (Microsoft 365 admin center → user → Mail → Manage email apps).
- In Security info, add an App password.
- Paste it into MAALI.
Zoho Mail
- In Zoho Mail settings, turn on IMAP access.
- Generate an app password under Security.
- Paste it into MAALI. EU and India accounts use the
.eu/.inservers; MAALI picks these automatically when it can.
Hostinger, Titan, Namecheap and other hosts
Use the mailbox password you set in your hosting panel. MAALI fills in the servers; if your provider isn't detected, find its "mail client settings" (SMTP and IMAP server, port) and enter them under Advanced.
What MAALI does with access
- Sends only the emails you approved, plus one follow-up.
- Reads new incoming mail only to spot replies and bounces to those emails. Other mail is never stored.
- Stores the password encrypted. You can pause or remove the mailbox anytime.
Troubleshooting
- "Login failed": you probably used your normal password instead of an app password, or IMAP is turned off.
- "Couldn't reach the server": check the server name and port under Advanced.
- Paused mailbox: if a password stops working, MAALI pauses the mailbox and shows a message. Click Reconnect after fixing it.
